At Glacis United Youth Football, we are committed to providing a safe, positive, and inclusive environment where every young player can learn, grow, and enjoy the game.
Our club policies are designed to protect our players, support our volunteers and coaches, and ensure that parents and guardians have clear information about how the club operates.

Code of Conduct – Players, Coaches & Parents
At Glacis United Youth Football, we believe in respect, teamwork, and fair play. Every player, coach, and parent is part of our club community and shares responsibility for maintaining a positive environment on and off the pitch.
Players

Respect teammates, coaches, referees, and opponents at all times.

Play fairly and with good sportsmanship, win or lose.

Arrive on time with the correct kit and a positive attitude.

Listen to your coach and follow team rules.

Never use bad language, bullying, or aggressive behaviour.
Coaches

Put player enjoyment, development, and safety above all else.

Lead by example – be respectful, supportive, and professional.

Ensure all players have equal opportunities to learn and play.

Keep all qualifications up to date (DBS, safeguarding, first aid).

Communicate clearly with parents and club officials.
Parents & Guardians

Support your child and the team positively from the sidelines.

Never shout criticism at players, referees, or coaches.

Encourage fair play and respect for everyone involved.

Address any concerns privately with club officials.

Ensure your child attends training and matches regularly.
Disciplinary Policy
Glacis United promotes fairness, accountability, and respect for all.
All players, coaches, and parents are expected to uphold the club’s values and Code of Conduct.
If behaviour falls below the expected standard:

The Club Management will review the issue fairly and confidentially.

Disciplinary actions may include a verbal or written warning, suspension, or termination of membership, depending on the severity.

All parties involved will have the opportunity to be heard.

Serious incidents (such as violence, abuse, or safeguarding concerns) will be referred to the relevant authorities.
Our aim is always education, understanding, and improvement—not punishment.
Safeguarding Policy
The safety and welfare of every child at Glacis United is our top priority.
We are committed to providing a safe, fun, and inclusive football environment for all young people.

All coaches and volunteers are DBS-checked and complete safeguarding training.

The club has a Designated Safeguarding Officer responsible for welfare matters.

Any concerns about a child’s safety—on or off the pitch—must be reported immediately to the Safeguarding Officer or directly to the FA safeguarding team.

Children are always treated with dignity and respect, and their voices are listened to in all matters that affect them.

Liability Policy
Glacis United strives to ensure a safe environment for all participants. However, football carries certain inherent risks such as minor injuries or accidents.

The club, its officers, and coaches will take all reasonable steps to provide safe facilities and qualified supervision.

Participation is voluntary, and by registering, parents/guardians accept these risks.

The club holds public liability and personal accident insurance.

Glacis United cannot be held responsible for loss, damage, or injury except where negligence is proven.
Consent / Membership Form
By completing the online registration form, parents and guardians agree that:

All information provided is true and accurate.

They give consent for their child to participate in all Glacis United activities, training sessions, and matches.

They consent to appropriate first aid being administered in the event of an injury.

They understand and agree to follow all club policies and the Code of Conduct.

They will keep the club informed of any relevant changes (contact details, medical information, etc.).
Photo, Video, and Media Policy
Glacis United celebrates its players and activities responsibly and in line with safeguarding and data protection guidance.

Photos and videos may be taken for coaching purposes, club promotion, or use on official club media (website, social media, newsletters).

Personal information such as full names will not be published alongside images without consent.

Parents or guardians may withdraw consent for photography or video use at any time by contacting the Club Secretary or Welfare Officer.

Any photography by external parties must be approved by the club.
GDPR and Data Protection Policy
Glacis United collects and stores personal data responsibly and in compliance with GDPR.

Information is collected for registration, communication, and player welfare purposes only.

Data is securely stored and accessed only by authorised club officials.

Personal details are never shared with third parties without consent unless legally required.

Parents can request to view, amend, or delete their child’s data at any time by contacting the Club Secretary.
Registration and Participation Terms
To participate with Glacis United, players must be fully registered through our online system and fees paid in full.

Registration confirms acceptance of all club rules, policies, and Codes of Conduct.

Players are expected to attend training and matches regularly.

The club reserves the right to suspend or remove any player for misconduct, non-payment, or safeguarding concerns.

Refunds will only be considered in exceptional cases, at the discretion of the Clubs management.
Our goal is to make participation enjoyable and fair for every player.
Medical Self-Declaration
To protect player welfare, parents and guardians must provide accurate and up-to-date medical information during registration.

Declare any medical conditions, allergies, or medications that could affect participation.
-
Inform the coach or club immediately if there are any changes during the season.
-
Medical information will only be shared with staff who need to know for safety purposes.
-
In the event of an emergency, the club has permission to seek medical assistance on behalf of the parent/guardian.
